1. Who we are
This website is operated by Newstone Law LLP, a limited liability partnership registered in England and Wales with registered number OC461536, whose registered office is at 167-169 5th Floor Great Portland Street, London, W1W 5PF (“Newstone Law”, “we”, “us” or “our”). For the purposes of the UK General Data Protection Regulation and the Data Protection Act 2018, Newstone Law LLP is the controller of personal data collected through this website. Questions about this notice should be sent to office@newstone.law.
2. Personal data we collect
- Information you provide through our enquiry form: your name, email address, the nature of your matter and the outline you choose to give us.
- Technical information recorded when the form is submitted: your IP address and the date and time of submission.
- Any further information you provide if you correspond with us by email.
Please do not send us confidential, privileged or sensitive information through the website. Until we have completed our client acceptance procedures and agreed terms of engagement, information you send us is not received under any client relationship.
3. How we use personal data and our lawful bases
- To respond to your enquiry and assess whether we can act. Our lawful bases are our legitimate interest in responding to enquiries about our services and, where relevant, the need to take steps at your request before entering into a contract with you.
- To comply with legal and regulatory obligations, including conflict checks and, where an engagement follows, anti-money laundering checks. Our lawful basis is compliance with a legal obligation.
- To keep the website secure and prevent misuse of the enquiry form. Our lawful basis is our legitimate interest in the security of our systems.
We do not use personal data collected through this website for marketing, and we do not sell personal data.
4. Sharing personal data
Enquiries are transmitted through our website hosting provider and our email service provider, who act as processors on our behalf. We may also disclose personal data where we are required to do so by law, by a regulator or by a court. We do not otherwise share your personal data.
5. International transfers
Our hosting and email providers may process data outside the United Kingdom. Where that happens, we rely on appropriate safeguards, such as UK adequacy regulations or approved contractual protections.
6. Retention
Enquiries that do not lead to an engagement are kept for as long as is reasonably necessary to deal with them and to keep a record of conflict checks, and are then deleted. Where an engagement follows, information becomes part of the client file and is kept in line with our legal and professional obligations, ordinarily for six years after the matter ends, or longer where the law or a particular matter requires it.
7. Your rights
You have rights to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to data portability, subject to conditions set by law. To exercise any of these rights, contact office@newstone.law. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
8. Security
We take reasonable technical and organisational measures to protect personal data. Email is not a secure medium, and information sent by email is at your own risk until secure channels have been agreed.
9. Cookies
This website does not set cookies and does not use analytics, advertising or tracking technologies. Its fonts and other files are served from our own hosting, so no third-party content is loaded when you view a page. If we introduce cookies or analytics, we will update this notice and, where the Privacy and Electronic Communications Regulations require it, ask for your consent first.
